Salary: £19,000 - £21,000

Full Time

To provide a highly effective, efficient, responsive Placement Admin Support Service to internal and external stake holders.

This will include the following:

  • Recording all referral activity received from local authorities
  • Contribute to the circulating of marketing of foster carer vacancies including foster carer profiles, welcome books and carer videos
  • Sharing of key information via email with Local Authorities as part of the placement offer process, alongside Placement colleagues
  • To ensure that all information systems used to support the Placements Team function of finding placements are kept up to date.
  • To work as an integral part of the Placements function by providing relevant admin support as necessary

Key Responsibilities

  • To record incoming referrals on behalf of Capstone Foster Care Group. A substantive part of the role will involve data entry of referrals.
  • To work in consultation with internal and external colleagues to match children with Capstone foster carers, in accordance with the policies and procedures of
  • Capstone Foster Care and fostering regulatory frameworks
  • Liaising with and developing effective professional relationships with Local Authority colleagues including social workers, commissioning colleagues and placements teams
  • Promoting foster carer availability by a variety of methods including the circulation of foster carer profiles, family welcome books, foster carer videos, targeted email mail shots and carer vacancy list
  • Liaising with Capstone Foster Care Group colleagues regarding all referral and placement activity
  • Record and maintain appropriate key/statutory information regarding children placed within the agency on the agency’s database
  • Undertake relevant admin tasks relating to the admission, internal move or end of a child/young person’s placement
  • To send out pre-placement letters (detailing documentation required by Capstone) to LAs prior to placement of child/young person Duty & Placements Officer/Senior Duty & Placements Officer
  • To communicate with both colleagues and Local Authorities to ensure compliance documents are received and loaded onto the relevant systems
  • To maintain a safe working environment for self and others, in accordance with the Agency's policy statement on Health and Safety at Work. Safe working environment is also to be followed if hybrid/home working
  • To ensure up to date policies and procedures are read and understood
  • To undertake training and development deemed necessary for the pursuance of the post and to demonstrate a commitment to further professional development.
  • To carry out other duties relevant to the post when requested by the management of Capstone Foster Care Group

Supervision Received and Exercised

  • Responsible to the Senior Placements Officer
  • Regular supervision, informal ‘check ins’, weekly team meetings and annual performance appraisal

Knowledge, Skills and Abilities

  • Develop an awareness and knowledge of the National Minimum Standards for Fostering Services of Fostering Services Regulations 2011, the Fostering Services Regulations 2011 & 2013 and Children Act 1989
  • Good verbal and written communication skills
  • Good IT skills including the ability to use Microsoft Office and in particular, Word, Excel and Outlook
  • Minimum of 2 years of working within an office environment
  • Good interpersonal skills
  • Good organisational and time management skills and ability to multitask
  • Develop emotionally resilience and have the ability to digest sensitive, complex information
  • Ability to provide excellence in customer service with internal and external colleagues

Qualifications, Registration and Experienced Required

  • Good IT skills
  • Good communication and written skills
  • Experience of working with databases

Physical Demands

  • Flexibility with regard to working hours is required.
  • A recognition and adherence to appropriate health and safety
